About the Job

Key responsibilities:

1. Greet and assist clients, visitors, and employees with warmth, professionalism, and a positive attitude
2. Manage incoming phone calls, emails, and messages, and route them to the appropriate departments or individuals
3. Schedule appointments, meetings, and manage team calendars using tools like Google Calendar or Outlook
4. Maintain a clean, organized, and welcoming front desk and reception area
5. Coordinate office deliveries, handle incoming and outgoing mail, and manage courier services
6. Monitor and manage visitor access, including check-in and visitor passes
7. Provide administrative support, including photocopying, scanning, filing, and document preparation
8. Maintain office supplies inventory and place orders when needed
9. Act as the point of contact for vendors, service providers, and building management
10. Assist with onboarding support for new employees, such as preparing welcome kits or guiding them through the office
11. Update internal directories and contact lists regularly
12. Track and log incoming documentation or deliveries to ensure proper handoff
13. Support event coordination for internal meetings, workshops, or celebrations
14. Collaborate closely with administrative, HR, and operations teams to ensure smooth day-to-day functions
15. Maintain confidentiality and professionalism when handling sensitive documents, client data, or internal communications
