About the Job
To ensure seamless end-to-end operations of guest houses and service apartments, including backend coordination, caretaker deployment, guest bookings, Airbnb listings, vendor follow-ups, documentation, reporting, and daily execution tasks. The role is critical in delivering smooth travel and stay experiences for guests across PAN India properties while maintaining high operational standards.Scope of work: This role covers all responsibilities related to:
1. Guest booking and coordination (incl. Airbnb)
2. Caretaker and housekeeping deployment
3. Documentation management
4. Staff replacement coordination
5. Petty cash and vendor management
6. Food and salary tracking
7. MIS reporting and daily execution monitoring
Key Responsibilities:
A. Booking management & guest coordination:
1. Manage guest house and Airbnb booking inquiries, confirmations, and availability checks
2. Share detailed rental information including GST and booking terms
3. Communicate with caretakers regarding check-in/check-out, cleanliness, and readiness
4. Draft and send formal confirmation emails with stay and billing details
5. Conduct guest check-ins, verify ID, handle mid-stay assistance, and manage check-outs
6. Collect feedback and ensure booking closure
B. Pre-arrival & on-ground coordination:
1. Communicate arrival and stay details with caretakers and housekeeping staff
2. Ensure internal teams are updated with timely guest and booking information
3. Track guest movements across properties and manage room allocations
C. Caretaker & staff management:
1. Maintain shift rosters, attendance logs, and monitor performance
2. Coordinate timely staff replacements with vendors (e.g., CKIE)
3. Manage onboarding and handover of caretakers
D. Documentation handling:
1. Collect and verify caretaker documentation: Aadhar, photo, police verification, health/vaccination certificate, and bank details
2. Share validated records with HR and Finance teams
E. Vendor & food coordination:
1. Coordinate with vendors for AMC, pest control, linen, transport, and other services
2. Track food consumption and maintain daily food sheets
3. Liaise with Finance for caretaker salary disbursal
F. Petty cash & bill approvals:
1. Process petty cash requests and verify caretaker-submitted bills
2. Track approvals and maintain accurate expense records
G. Reporting & MIS:
1. Maintain up-to-date trackers for bookings, caretaker attendance, food/salary sheets, vendor services, and expenses
2. Prepare and share daily occupancy reports and weekly/monthly MIS with clients
3. Join daily client calls for status updates
